Good Morning,

As you read in this morning’s letter to the University community from President Paxson, Brown will transition all undergraduate academic instruction to remote learning effective Monday, March 30. Students need to vacate residential facilities operated by Brown by 5:00 p.m. on Sunday, March 22. Classes have been cancelled for the week of March 16 to allow students time to pack and arrange for travel home or to an alternate location away from campus. Because classes and events will be cancelled, students are encouraged to depart campus as soon as they are able.

We know this is a challenging time as you prepare to transition out of your residential
communities and away from campus to a remote learning environment. We know you will have many questions, and we will do our best to provide the information that you need. Please read this message in full.

As a first step, all students living on campus or in Brown-owned properties are required to indicate their date of departure via this form. Please complete this step no later than noon on Wednesday, March 18.

Students with extenuating circumstances that prevent them from leaving their residence by Sunday, March 22, can submit a petition via the form above no later than noon on Wednesday, March 18. Exceptions will be considered for the following circumstances:

 International students with concerns about being able to return to Brown due to visa issues.
 International students with concerns about difficulty returning to their home country due to the prevalence of COVID-19.
 Students who do not have an alternate place to go
 Students for whom departing campus would create a severe financial hardship

Petitions will be reviewed on a rolling basis, and we will begin communicating decisions on Monday, March 16. Students whose petitions are approved are required to stay at Brown during Spring Break (the week of March 23). Students whose petitions are approved and who will remain on campus after March 22 will receive new on-campus housing assignments near other students remaining on campus.

On Sunday, March 22, at 5:00 p.m., doors will be locked and card access will be disabled for all residence halls and Brown-owned properties. Students must be fully moved out and ready to transition home or to an alternate location by this time.

To assist in this process, Residential Life staff will deliver boxes to the main lobbies of on-campus residential facilities. Please take only what you need so there are enough boxes for the other members of our community.

Please communicate your travel plans to family, roommates, suitemates and friends.

And please follow these guidelines as you prepare to move out of your residence:

 Register your departure date via this form.
 In addition to other belongings, be sure to take your Brown ID, passport, medications and other important documents with you. Remain mindful of the location of these items and keep them with you.
 Refill any necessary prescriptions and see care providers if necessary prior to departure.

For students in need of local storage, Brown Student Agencies partners with College Storage to help store students’ items during their time away. Please refer to BSA's website for details.

For students who are interested in using a moving company to pack and move their belongings, Conlon and Gentry are two companies that have worked with Brown. You may also identify your own provider.

Please keep in mind that the decision to transition to remote learning has been made in the context of a serious public health situation, and students are expected to plan accordingly. Parties and large gatherings violate the principle of social distancing and can contribute to the spread of infection. The University will instruct students to disband any such gatherings of which it
becomes aware. Where there are concerns about policy violations, these will be referred to the Office of Student Conduct and Community Standards.

The On-Campus Housing Lottery has been postponed for two weeks. Phase 1 (group formation), will now take place March 30– April 3. Phase 2 (housing selection), will now take place April 20, 21, and 22. Exact times will be shared with eligible students as we draw closer to these dates. Students who have already accepted housing through a pre-lottery process will retain the assignments and/or placements they have been offered and accepted.

Please reference the COVID.brown.edu website for additional information on Brown’s response to COVID-19 and the plans announced this morning. If your question is not answered on the website, please call the Office of Residential Life at (401) 863-3500.

Again, we understand that this is a challenging time, and we thank you in advance for your cooperation and for extending care and concern to everyone in our community.

Best,
