Dear Students,
Over the past few days, I have heard from and spoken with many of you. These discussions have made clear that my recent email regarding Brown’s grading policies created many more questions than it resolved. These are difficult moments, and I
understand that no single message or policy can address the range of challenges and
the scope of uncertainty that members of our community are facing right now.
In light of the questions and suggestions that many of you raised, I am writing to share two specific updates regarding Brown’s policies on grading and academic standing that were made after careful consultation with faculty, staff, and students as well as the relevant governing academic committees.
First, in order to provide students with more time and opportunity to consider their grade
options this semester, Brown will extend the grade option deadline through the last full
week of instruction. All students will now have from Monday, April 13 until Friday, May 1 to decide whether they want to receive letter or S/NC grades for all courses that are not mandatory S/NC. We hope that this extension of the grade option deadline will provide you with the opportunity to make the best possible decisions for your individual circumstances.
Second, in order to promote academic continuity, the Committee on Academic Standing has established guidelines to assure that no student’s academic standing will be adversely affected by their coursework this Spring 2020 semester.
For decades, Brown’s academic policies have promoted individualized student learning
through principles defined by choice and purpose, and we continue to believe that these are also the most flexible and supportive policies for this moment.
We are grateful that our community is sustained by the network of trust, support, and partnership that connects us all, whether across campus or around the world. Please continue to reach out to us at college@brown.edu if we can be of help or support in any way.
Sincerely,
Rashid Zia
Dean of the College

Dear Undergraduates,
We know that the news that Brown is transitioning to remote learning raises many questions for students. The health and wellbeing of our students remains a top priority as Brown responds to this worldwide COVID-19 pandemic, and we understand that this period of transition to remote
learning may be stressful.
Our colleagues across the University are here to support you, and we want to be sure that you have the information you need to make arrangements for this transition. For on-campus students and students in Brown-owned housing, that includes moving out by 5:00 p.m. on Sunday, March 22, unless you receive approval to remain in residence through the petition process (explained in the message sent earlier today from Residential Life). Travel is likely to
become more complicated as the coronavirus situation evolves, so we encourage you to make arrangements to leave as soon as logistically possible.
Many questions can be answered by first reading these communications closely:
● President Paxson’s message to the Brown community
● Message from Residential Life (subject: “Action Required: Moving Out of Residence”)
● FAQ on Housing & Dining
We have a phone bank of staff working 8:30 a.m. to 5 p.m. to respond quickly to housing and other general questions through the Office of Residential Life phone line (401-863-3500).
Please use the Administrator on Call only for health or safety emergencies.
GUIDANCE FOR STUDENT MOVE-OUT
Students in Residence Halls and Brown-owned Housing:
● Register your date of departure or submit a petition if your circumstances prevent
you from leaving campus by 5 p.m. on Sunday, March 22. The deadline for submitting a petition is Wednesday, March 18. Instructions are in the message you received from Residential Life.
● Many boxes were delivered this afternoon, and they will continue to be delivered to
residential areas. We continue to ask that you take only what you need and pack
efficiently.
● Look for messages from your RPL with information about checking out and returning your key.
● Be sure to take important personal items including, but not limited to identification
documents, medications, etc. on your person.
● Update your mailing address in Banner, especially if you have ordered packages
recently.
Responding to Financial Barriers
● Students for whom departing campus would create a severe financial or personal
hardship, including international students with concerns about travel restrictions, should submit a petition to remain on campus (contained in the message from Residential Life).
● Students with the highest demonstrated financial need have received outreach from
colleagues in the College about support for staying on campus, traveling away from
campus, and additional advising resources.
● The University has established a dedicated COVID-19 Transition E-Gap Fund for
undergraduate students with high demonstrated financial need to assist with emergent expenses related to the transition to remote learning. Depending on a student’s individual circumstances and financial need, E-Gap funding may provide partial support for travel, moving and storage, and education-related expenses. The application will be available on the UFunds website by 2:30 p.m. on Friday, March 13.
● Student employees are encouraged to leave campus as soon as possible. Student
employees should let their supervisor know as soon as they have finalized their plans to
depart campus, and should be in communication with their supervisors to discuss whether their work can be performed remotely. It is anticipated that student work that can be performed remotely will resume after March 30.
Parties and Gatherings
The decision to transition to remote learning has been made in the context of a serious public health situation. We have an opportunity to care not just for ourselves, but also for peers and the faculty and staff who provide support. Parties and large gatherings violate the principle of
social distancing and can contribute to the spread of infection. This is particularly important considering that some members of our community (students, staff and faculty) are more vulnerable given underlying health conditions. With this in mind, the University is prohibiting
organized events during this transition period and encouraging social distancing. Violations will be referred to the Office of Student Conduct and Community Standards.
We understand that students have many questions and concerns, and we care about you. Support resources like Student Support Services (401-863-3145), CAPS (401-863-3476) and deans in the College (401-863-9800) are here to support you. The University is still open, and we are all mobilized to help as most of you travel from campus during this challenging time.
Sincerely,
Eric Estes, Vice President for Campus Life

Dear Undergraduate Students,
I hope that you are doing well and that you are taking the time to prioritize your health
and well-being. As the weekend approaches, I am writing today to share some guidance from the College, as well as resources you may find helpful as you prepare for remote instruction after the end of spring break:
1. Consider what you will need to resume your courses remotely:
a. Take a look at the Remote Learning page on Brown’s COVID-19
website to see a checklist for preparedness and other valuable
resources.
b. The University has established a dedicated COVID-19 Transition E-Gap Fund for undergraduates with high demonstrated financial need to assist with emergent expenses related to the transition to remote learning. Depending on a student’s individual circumstances and financial need,
E-Gap funding may provide partial support for travel, moving and storage, and education-related expenses. Students may apply directly at ufunds.brown.edu.
2. Advising Support: Per the Provost’s message, classes will resume remotely
on Monday, 3/30, and there should be no assignments due before classes resume. If you have any academic questions or concerns, please note that Academic Deans are holding virtual appointments through the end of the semester. You can also email college@brown.edu or call 401-863-9800 to ask questions or request an appointment with an Academic Dean outside of the
pre-scheduled appointment blocks.
3. Changes to Academic Deadlines and Policies: Many of you have reached
out to the College to ask questions and share perspectives around potential
changes to our standard academic calendar and policies, such as postponing concentration declaration & Fall pre-registration and re-opening the S/NC
grade option. Please know that we are keeping your needs and perspectives in
mind as we work through these issues; our goal is to provide a comprehensive update on all policy issues to the campus community before classes resume
on March 30th.
Please keep an eye out for additional messages and continue to consult Brown’s COVID-19 website for regular updates. I know this is not the spring break that any of us had planned for, but I know that our community will continue to build and strengthen relationships from afar over the weeks to come.
Sincerely,
Rashid Zia

Dear Students, Staff and Faculty,
Over the past two weeks, we have heard from many of you with suggestions for
supporting students and instructors through this difficult and unprecedented moment.
We have been inspired by instructors who have already transformed their courses into
remote learning communities, and moved by students helping teach their instructors
and peers about resources that will enable us to remain connected as a teaching and
learning community in the days ahead.
After extensive discussion, we are writing to share a comprehensive set of Temporary
Academic Policies for the College and Graduate School to help support our transition to remote teaching and learning, which begins with the resumption of the spring semester on March 30. These policies have been developed in consultation with students, staff, faculty and administrators, and we are thankful to all who contributed their ideas and time to this important effort. We are especially grateful to the Faculty Executive Committee as well as members of the College Curriculum Council, Graduate Council, and Undergraduate Council of Students, who spent hours reviewing these policies and providing their feedback over the past few days.
We strongly encourage all instructors and students to carefully review the Temporary
Academic Policies for Spring 2020 now posted on the Teaching & Learning section of Brown’s COVID-19 website. The policies include detailed information regarding:
● guidance to prioritize asynchronous instruction that enables student access at
any time;
● requirements to hold any synchronous class meetings during scheduled class
times and to record synchronous sessions for equity and accessibility;
● guidance on final examinations and alternative assessments;
● guidelines for holding remote dissertation and thesis defenses;
● maintenance of important deadlines for degree clearance and graduation;
● opportunities for both instructor and student changes to grade options; and
● postponement of fall pre-registration and concentration declaration deadlines
These policies are intended to honor both the spirit and letter of Brown’s distinctive
approach to higher education. Wherever possible, our goal continues to be to provide
both students and instructors with the flexibility and structure to make informed choices, because we have confidence in your ability to work together to support shared learning. Our guiding principles remain three-fold: (1) to empower instructors to make adjustments to course plans to help students meet their course's key learning goals; (2) to reaffirm and support Brown’s commitment to full inclusion for all students, especially
considering the varying access to technology and experience with remote learning among students and instructors; and (3) to promote patience and generosity during this unprecedented moment, which has become a learning opportunity for all learners and teachers.
For instructors, these policies mean you will have an opportunity to revise your course
plans, petition to shift to mandatory S/NC grading in exceptional circumstances, and
reconsider your final examinations. We also ask that you share updated syllabi by April
3, record online class meetings, and continue to hold remote office hours. For students, this means that you will be able to reconsider your course grade options in mid-April, postpone concentration declaration, and pre-register in June – and that we will support you in finishing your coursework, dissertations and theses on time this semester. Finally, as a reminder to all, please note that these temporary policies are supplemental
to all other applicable University policies, including the Academic Code and Code of
Student Conduct that remain in effect during this period of remote learning.
We thank the entire Brown community for your patience as we have developed these
policies. As remote instruction begins, we encourage you to take advantage of the many Teaching and Learning Resources available to both students and instructors. If you have questions, please feel free to reach out to us directly at college@brown.edu and
graduate_school@brown.edu. We and our colleagues across the University are here to support you as we all embark on this new experience of fully remote education at Brown.
Sincerely,
Andrew G. Campbell, Dean of the Graduate School

Dear Students,
I hope that you and your loved ones are well, and that you have been able to reconnect with your classmates and instructors today. Our primary goal in the coming weeks is to continue to support all students, including those most directly impacted by this crisis, with individualized (academic, financial, and personal) advising as well as systematic support.
I am writing to address student concerns about Brown’s decision on how to handle
grading this semester. Consistent with Brown’s student-centered approach to education, we believe it is important to empower students to make educational choices for themselves, even when these choices are difficult. After widespread consultation with faculty and students, we adopted a policy that lets students revisit decisions to take courses S/NC up until April 17th. In addition, faculty may request that their course(s) be converted to mandatory S/NC.
In the past week, I have received numerous emails from students who would prefer a
“universal pass” system, where everyone automatically receives a passing grade,
arguing that this is the most equitable approach in the current circumstances. I have also heard from many students from a broad range of backgrounds who have argued that the most equitable approach is for students to retain the agency to choose a letter grade or S/NC for each course.
The communications that I have found the most compelling have come from students
who have overcome challenges after struggling academically during their first years at Brown, and whose grades this term would document their success. For these students, letter grades this semester – even if only in one class – could showcase their resilience in the face of adversity, and help them secure access to future opportunities. The hopes and concerns that these students have shared are very real, and they speak directly to how education can transform our lives and those of our communities. For these reasons, we have decided against a “universal pass” or mandatory S/NC system.
I am thankful that – at this moment of uncertainty – equity and inclusion remain at the forefront of all our discussions, even if we may disagree on the right approach. My
commitment in the days and weeks ahead is to ensure that you and your peers have
the best support possible to make the best decisions for yourselves. Please reach out to
college@brown.edu if you need support with this or other decisions.
I wish you all the best this week in reconnecting as a remote learning community, a community committed to creating, sharing, and applying knowledge in support of improving the world.
Sincerely,
Rashid Zia
Dean of the College
